Questions to ask on a venue viewing

Stunning outdoor wedding setup with a floral arbor and rustic chairs under clear blue sky.

A viewing is the best chance to see whether a venue really suits your event. Photos show the rooms at their best; a visit shows you the walk from the car park, the light at the time of day you plan to celebrate and how the team answers questions. Take this list with you and write the answers down.

Capacity and layout

  • How many guests fit for a seated dinner, and how many for a standing reception?
  • Where do the tables, the dance floor, the band and the bar go for my guest count?
  • Is there a plan B indoors if the weather is bad for an outdoor ceremony?
  • Can I have the floor plans to sketch my own layout?

Exclusive use and timings

  • Will any other event take place at the venue on the same day?
  • What time can we, our suppliers and our guests arrive?
  • When does the music have to stop, and when must everyone leave?
  • How long do we have to clear the rooms the next morning?

Food, drink and suppliers

  • Do we have to use your caterers, or can we bring our own?
  • Can we arrange a tasting, and when?
  • Are there rules for bands, DJs, candles, confetti or decorations?
  • Is there a fee to bring our own drinks?

Prices and the small print

Ask exactly what the hire fee includes: tables, chairs, linen, lighting, staff, set-up and clearing. Ask for the deposit amount, the payment dates, the date for final guest numbers and what happens if you need to change the date or cancel. Ask for everything in writing before you pay.

Getting there and getting around

Check the parking, the nearest station and taxi firms, and whether the rooms, the restrooms and the garden are step-free. If any of your guests have access needs, mention them now so the venue can plan.

Finally, trust how the visit feels. If the team listens, answers clearly and seems glad to help, that is a good sign for the day itself.
