How to plan a seating layout for your event

Spacious banquet hall with round tables set for an event featuring elegant lighting and decor.

A good layout helps everyone feel part of the event: guests can see and hear the speeches, staff can serve without squeezing past chairs, and the dance floor fills up naturally. Here is a simple way to plan it.

Start with the floor plan

Ask the venue for a scaled floor plan of your room. Mark the fixed points first: doors, fire exits, the bar, power points and any pillars. Then place the elements that need the most space, such as the stage or band, the dance floor and the top table.

Choose your table shape

  • Round tables make conversation easy and suit most weddings and dinners.
  • Long tables feel like a family feast and often fit more guests into a narrow room.
  • Cabaret style (round tables with one side left open) works well for talks and awards, because everyone faces the front.
  • Theatre or boardroom layouts suit meetings, where tables for food can sit in another room.

Leave room to move

Allow space between tables for chairs to be pushed back and for staff to carry plates. Keep paths to the exits clear at all times. Your venue knows how many tables fit safely in each room, so check your plan with them.

Then plan who sits where

  • Group guests who know each other, and mix in a few who will get on.
  • Seat older guests and anyone with access needs near the doors and away from the speakers.
  • Put families with small children near an exit, so a quiet walk is easy.
  • Give the photographer and the speech-givers a clear view.

Finish the seating chart about two weeks before the event, once your final numbers are in, and send a copy to the venue and the caterer.
